Pursue What Matters, LLC (“Company,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, purchase or use our products and services, participate in coaching, join our community, or communicate with us.

We may update this policy periodically. Any changes will be reflected in the “Last Updated” date above.


1. INFORMATION WE COLLECT

We may collect:

Your name, email address, telephone number, billing address, and account information.

Information submitted through forms, applications, questionnaires, surveys, or emails.

Purchase, payment, refund, and transaction information.

Course enrollment, account activity, and community participation information.

Coaching goals, challenges, action steps, progress updates, communications, and notes.

Information you voluntarily share about your personal history, relationships, faith, health, emotional well-being, or other personal circumstances.

You are not required to provide personal information, but choosing not to provide certain information may prevent us from delivering a requested product or service.

Payments are processed through Stripe or another payment provider identified at checkout. We do not store complete payment-card information on our own systems.


2. COACHING RECORDINGS AND NOTES

We use Fathom to record and transcribe certain coaching sessions and to create notes that we send to the client.

At the beginning of a call, we ask for permission to record. If you do not consent, the recording will not continue. You may also withdraw permission during the call.

When you consent, Fathom may process the session’s audio, video, transcript, and AI-generated notes. We use this information to:

Prepare and send you notes or a summary of the session.

Document goals, insights, decisions, and agreed action steps.

Maintain appropriate coaching records.

Improve continuity between sessions.

Recordings, transcripts, and notes may contain sensitive information that you voluntarily share. We use this information only to provide coaching, maintain appropriate records, protect health or safety, meet legal obligations, or for another purpose you authorize.

We do not use private coaching recordings or disclosures for advertising or promotional purposes without separate permission.

If a group session will be recorded, all participants will be notified and consent will be requested before the recording continues.


3. COACHING AND GROUP PRIVACY

We treat information shared during individual coaching as private. However, coaching communications are not protected by the legal privileges that may apply to communications with a licensed therapist, physician, or attorney.

We may disclose coaching information when:

You authorize us to do so.

Disclosure is required by law or valid legal process.

We reasonably believe disclosure is necessary to protect you or another person from a serious safety risk.

Disclosure is necessary to administer the coaching service or obtain confidential professional advice.

During group coaching or community activities, your name, image, voice, and statements may be visible or audible to other participants. We ask participants to respect one another’s privacy, but we cannot guarantee that another participant will keep information confidential. Please do not share information in a group setting that you do not want other participants to know.


4. HOW WE USE INFORMATION

We may use personal information to:

Deliver courses, coaching, communities, and other services.

Process purchases, payments, cancellations, and refunds.

Schedule sessions and send reminders.

Create and manage customer accounts and course access.

Prepare and send coaching notes.

Fathom for authorized session recording, transcription, and note creation.

Mastermind.com and LeadConnector/GoHighLevel for website, course, form, account, customer-management, or communication services.

Email, scheduling, video-conferencing, cloud-storage, and technology providers.

Facebook or another community platform when you choose to participate.

Accountants, attorneys, contractors, and other professional service providers.

These providers may process information only to provide their services to us or as otherwise permitted by their agreements and applicable law.

We may also disclose information when required by law, to protect rights or safety, to investigate misuse, or in connection with a sale or transfer of the business.


6. EMAILS, COOKIES, AND WEBSITE TECHNOLOGY

We may send transactional emails relating to purchases, scheduling, course access, payments, refunds, and services you requested.

We may send newsletters or promotional messages with your consent or when otherwise permitted by law. You may unsubscribe at any time by using the link in an email or contacting us at [email protected].

Our website and service providers may use cookies and similar technologies for website functionality, security, forms, transactions, account access, analytics, and embedded content.

We do not currently sell personal information or use private coaching information for targeted advertising.

Transaction and tax records may generally be retained for up to seven years. Coaching recordings, transcripts, notes, and communications are retained only as long as reasonably necessary for the coaching relationship, recordkeeping, safety, or legal purposes.

We use reasonable administrative and technical safeguards to protect personal information. However, no method of electronic transmission or storage is completely secure, so we cannot guarantee absolute security.


8. INTERNATIONAL DATA TRANSFERS

Pursue What Matters, LLC is based in the United States. Your information may be transferred to and processed in the United States or other countries where our service providers operate.

Where required, we and our providers use legally recognized safeguards for international transfers, such as adequacy decisions, approved data-transfer frameworks, or standard contractual clauses.
